Three minutes. Twelve questions.

Are you using AI, or just chatting with it?

Answer honestly. You’ll see where you are on the AI ladder, and the specific settings and features that would move you up. No email needed to see your result.

Level 1Set up properly

Is your company’s data kept out of AI training (business plan, or training switched off)?

Personal plans can train on your chats unless training is switched off, and a business plan lets you remove a departing employee’s access.

Do you use the desktop app rather than a browser tab?

Local files, the built-in browser and one-key access only work on desktop.

Does your AI already know your company, role and tone without you typing it?

Retyping background every chat is the most common sign of Level 0.

Level 2Reusable know-how

Do you have a project for each recurring job, with its templates loaded?

Projects keep files and instructions together so every chat starts informed.

Has a repeat process been turned into an assistant your team shares?

Otherwise the know-how lives in one person’s prompt history.

Level 3Connected

Is your AI connected to your email and files, instead of copy and paste?

Copy and paste is the ceiling of the first two levels.

Do you know which apps it’s connected to, and whether each can write or only read?

Permissions, not prompts, decide how much damage a mistake can do.

Level 4Acting, with approval

Has AI ever done a task for you, like filing, updating or filling in a form?

Drafting-only use leaves most of the value unused.

When it acts, does it ask you first before anything that sends, pays, deletes or shares?

Human approval is the main defense against mistakes and malicious instructions hidden in emails.

Do you know which of your tools can take actions on their own, and are those set to ask first?

Some tools now start in an automatic or “full access” mode by default.

Level 5Automated

Does anything run on a schedule or trigger without you asking?

If nothing does, you haven’t reached the automation level.

Does someone check what your automations did each week?

Unattended runs act as you, and a green status can hide a failed or wrong task.
